Text files are so easy to send online. Even a text file of over 10,000 words can be easily attached to an email and sent to anyone online. However, it becomes a frustrating task when we try to send a big video file. I recently completed editing a marketing video and since the video was in HD quality, the file size was pretty big. Now, you cannot send such a large file via email. Typically, email providers allow you to attach a file size of less than 100MBs. Gmail for instance, allows a maximum file size of 25MB.
However, a video even of a few minutes of duration can easily amount to a few Gigabytes. Even the instant messaging services that allow photo or video transfer won’t support such a big file. In fact, some IM apps are known to compromise the quality of media files. Of course, you can share large files with a coworker using a flash drive, but it won’t work when your colleague is situated in a different city.
So, how can you easily send large files online safely and without compromising with its quality?
Fortunately, there are some really smart solutions to this problem. Let us check out the ways to send big files online with great ease.
Compress & Send
One of the best ways of sending large files online is by using file compression software. There are many free file compression software available like 7-Zip. Such software can offer loss-free file compression option with a high compression ratio.
The benefit of using a compression software is that you can compress an entire folder and send it to your colleague. All you need to do is install a file compression software, compress the file or folder and attach it to the email. Now, this option will help you get around the typical limit of 25MB for Gmail or other email services. You will be able to compress and send a file 40-50% larger than the file size limit, but for even larger files there are other ways.
Use Cloud storage services
Cloud storage services like Dropbox can solve this size issue for you. You can not only upload and safe-keep your files on a cloud server, but there are so many other features like group sharing that help you enhance productivity.
Another very important attribute is the safety of your files. Trusted cloud service providers like Dropbox encrypt the files that you share with your colleagues, thus securing them from eavesdroppers. You can easily share large files of any data type with multiple colleagues at once. You won’t need to individually upload the files for each one of them. Just create a common link and send via email, SMS or IM apps. The recipients will be able to view and download the files easily, even if they do not have a Dropbox account.
Another handy feature is the access rights. You control what happens with the file you share. You can permit people to view, comment on or download the files. Don’t worry, they won’t be able to edit the files. The integrity of your files will be maintained. You can even password protect your confidential files so that only the recipients with the right password can access them. So, even if someone somehow got the links to your private documents, they won’t be able to view or download them without the password. Dropbox also allows you to set a date for the link to expire. After that set period, no one will be able to access the file. Using a cloud storage service not only makes it a piece of cake to share large files, but also saves storage space on your devices.
You can access the cloud from anywhere and from any of your devices. They are compatible with all the popular operating systems, be it Mac, Windows, Android, Linux, iOS, etc.
FTP file upload
Another option to share big files with your friends is by using FTP. If you own a website or web hosting, then you can just upload the files on your server and provide the file’s online link to your friends so that they can download the files directly from your server. Although, user’s discretion is advised. If you upload a file publicly on your server, then even other people might be able to view or download it. Even search engine crawlers might index them. So, make sure you password protect your files over server and disable search engine crawlers using the robots.txt page.
These are some of the best and secure ways to share files online. There are also some anonymous or free file sharing services online, but proceed with caution. The integrity or security of your files is not guaranteed with these sites. Some of them even have really controversial privacy policies.
